What is this template for?

A receipt is proof that a payment was made, and this free template gives you a clean, professional one in minutes. Hand it to customers after they pay by bank transfer, card or cash, or attach it to your records so both sides have a clear paper trail.

Who should use it?

Freelancers, tradespeople, market stall sellers and small businesses that take direct payments. If you invoice first and get paid later, you will usually want our freelancer invoice template too, so the invoice and the receipt match.

What is inside the template?

Your business name and contact details, the customer’s details, a unique receipt number, the date paid and the payment method, an itemised table of what was paid for, the subtotal, the amount paid, the balance due (zero when settled), a bold PAID stamp and a thank-you footer. Every field is editable: click it, type, then download.

Frequently asked questions

What is the difference between an invoice and a receipt?

An invoice asks for payment; a receipt confirms payment was received. Send the invoice first, then the receipt once the money lands. The two documents share the same line items, so keeping them consistent looks professional.

What must a receipt include?

Your business name, the customer’s name, a unique receipt number, the date of payment, the payment method, an itemised list of what was paid for and the total amount received. This template covers all of it.

Do I have to give receipts to customers?

There is no general legal duty to issue a receipt for every sale in the UK, but customers can reasonably ask for one, and receipts protect you if a payment is ever disputed. Issuing one takes seconds with this template.

How should I number my receipts?

Use a simple sequential system that is separate from your invoice numbers, for example RCP-2026-0871, and never reuse a number. It keeps your bookkeeping tidy at tax time.

How do the downloads work?

Edit the preview first, then choose PDF, Word or Excel. PDF uses your browser’s print dialog (choose Save as PDF). Word and Excel download instantly as .doc and .xls files. Everything happens on your device: nothing is uploaded anywhere.
