What is this template for?

This free quote template helps you price work before you start, so clients know exactly what to expect. Itemise each part of the job, add an optional discount, set an expiry date and send a document that looks like it came from a much bigger business.

Who should use it?

Freelancers, contractors, agencies and tradespeople who price project work. If a client accepts your quote, convert it straight into an invoice with our freelancer invoice template so the numbers stay consistent.

What is inside the template?

Your business details, the client’s details, a unique quote number, the issue date and a valid-until date, an itemised estimate table with quantities and rates, an optional discount row, the total estimate and approval notes in the footer. Every field is editable: click it, type, then download.

Frequently asked questions

What is the difference between a quote and an estimate?

In everyday use the words are interchangeable, but strictly a quote is a fixed price you commit to while an estimate is your best guess. Either way, put it in writing with an expiry date so expectations are clear.

How long should a quote stay valid?

Thirty days is the common standard and it is what this template suggests. It protects you from cost changes while giving the client enough time to decide.

Should my quote include VAT?

If you are VAT registered, show VAT clearly or state that prices exclude it. If you are not registered, do not add a VAT line at all.

What if the job costs more than I quoted?

A fixed quote is binding once accepted, which is why itemising matters: it shows what is included. For uncertain work, quote a day rate with an estimated number of days instead of one fixed figure.

How do the downloads work?

Edit the preview first, then choose PDF, Word or Excel. PDF uses your browser’s print dialog (choose Save as PDF). Word and Excel download instantly as .doc and .xls files. Everything happens on your device: nothing is uploaded anywhere.
