What is this template for?

This free UK VAT invoice template is for VAT-registered businesses that must show VAT separately on every invoice. It includes the fields HMRC expects on a VAT invoice: your VAT number, the VAT rate applied and the VAT amount, alongside the net, VAT and gross totals.

Who should use it?

Any UK business registered for VAT, from freelancers over the threshold to limited companies. If you are not VAT registered, use the freelancer invoice template instead — do not show VAT you are not charging.

What is inside the template?

Supplier VAT number box, customer details with space for their VAT number, invoice number and dates, itemised lines, subtotal (net), an editable VAT rate field with automatic VAT calculation, and the gross total. Click the 20% rate to change it if a different rate applies to your supply.

What UK law requires on an invoice

Every invoice you send in the UK must show certain details to be valid. For a standard (non-VAT) invoice: a unique invoice number, the date, your business name and address, your customer’s name and address, a clear description of the work, the amount charged, and your payment terms. If you are VAT-registered, you must also show your VAT number, the VAT rate applied, and the VAT amount per line — see gov.uk guidance on invoices. This template includes fields for all of them, so an invoice built from it meets the legal requirements.

Frequently asked questions

What makes an invoice a valid VAT invoice?

A VAT invoice must show your business name and address, your VAT registration number, a unique invoice number, the date of supply, a description of the goods or services, the VAT rate applied and the VAT amount charged.

When must I issue a VAT invoice?

If your business is registered for VAT, you must give customers a VAT invoice for the goods and services you supply. Keep copies for your VAT records.

What if I make a mistake on a VAT invoice?

Do not just edit and resend. Issue a credit note against the original invoice and raise a corrected invoice, so your VAT records stay clean.

Can I change the VAT rate in this template?

Yes. The rate field is editable — click it and type the rate that applies. The VAT amount and gross total recalculate automatically.

Is this template an official HMRC form?

No. It is a clean, widely used layout containing the fields a VAT invoice needs. For edge cases such as reverse charge or margin schemes, check HMRC guidance or ask your accountant.
