What is this template for?

This free freelancer invoice template is built for self-employed professionals who bill by the hour, by the day or per project: designers, developers, writers, marketers and consultants. It keeps the layout clean and client-friendly, with space for itemised work so clients can see exactly what they are paying for.

Who should use it?

Any freelancer or sole trader who is not VAT registered and needs a professional invoice in minutes. Trades with their own line items are covered too, including our electrician invoice template with call-out fees, labour and materials. If you are VAT registered in the UK, use our VAT invoice template instead.

What is inside the template?

Your business name and contact details, client details, a unique invoice number, issue and due dates, an itemised table (description, quantity, rate, amount), subtotal and total due, and a payment-notes footer. Every field is editable: click it, type, then download.

What UK law requires on an invoice

Every invoice you send in the UK must show certain details to be valid. For a standard (non-VAT) invoice: a unique invoice number, the date, your business name and address, your customer’s name and address, a clear description of the work, the amount charged, and your payment terms. If you are VAT-registered, you must also show your VAT number, the VAT rate applied, and the VAT amount per line — see gov.uk guidance on invoices. This template includes fields for all of them, so an invoice built from it meets the legal requirements.

Frequently asked questions

What must a freelancer include on an invoice?

Your business name and contact details, your client’s details, a unique invoice number, the issue date and payment due date, an itemised list of the work with quantities and rates, the total due and how to pay you.

How should I number my invoices?

Use one simple sequential system, for example INV-2026-1042, and never reuse a number. Sequential numbering looks professional and keeps your records clean at tax time.

When should I send the invoice?

Send it as soon as the work is delivered, or in line with agreed milestones. The faster you invoice, the faster you tend to get paid.

Do I need to add VAT as a freelancer?

Only if you are VAT registered. If you are not registered, do not add a VAT line. If you are registered in the UK, use the VAT invoice template so the VAT number, rate and amount are shown correctly.

How do the downloads work?

Edit the preview first, then choose PDF, Word or Excel. PDF uses your browser’s print dialog (choose Save as PDF). Word and Excel download instantly as .doc and .xls files. Everything happens on your device: nothing is uploaded anywhere.

Want to customise this further? Open it in the free invoice generator — add your logo, save clients and download a polished PDF.
