Frequently asked questions
What is a purchase order?
A purchase order is a formal document a buyer sends a supplier to order goods or services. It states what is wanted, how much of it, the agreed price and where to deliver it, and it becomes part of the contract once accepted.
What is the difference between a purchase order and an invoice?
The purchase order comes first: the buyer sends it to order the goods. The invoice comes later: the supplier sends it to ask for payment. Match the two together and you always know what you are paying for.
Who should authorise purchase orders?
Whoever controls the budget: usually a director, office manager or department head. The authorised-by line on this template records that approval in writing.
Do small businesses really need purchase orders?
Once you have staff ordering things, yes. Even a simple PO stops duplicate orders, surprise spending and arguments with suppliers about what was agreed.
