What is this template for?

This free web developer invoice template is built for freelance web developers and small studios: website builds, e-commerce work, fixes and ongoing development. It bills the way development projects actually run — a deposit credited on every invoice, milestones tied to deliverables, change requests as their own lines, and third-party costs passed through with the service named.

Deposits, milestones and change requests: how web developers bill

Almost every billing dispute on a web project traces back to one of four things, and this template handles all of them. First, the deposit: 30 to 50 percent before work begins is standard, and it must be shown by date and subtracted on every subsequent invoice — the preview credits a £1,500 deposit received on 22 September as a negative line, so the client only ever pays the true balance. Second, milestones tied to observable deliverables, not calendar dates or bare percentages: discovery, design approval, development complete on staging, launch — each milestone line names what the client can actually go and look at. Third, change requests: scope changes are quoted and approved in writing before they are built, then billed as labelled lines (CR number and approval date, as the preview shows), never folded silently into the build fee. Hourly or sprint work is summarised by feature or task (“checkout flow — hours at rate”), not pasted in as raw time logs. Third-party costs — hosting, domains, premium plugins and themes, API fees — are passed through at cost with the service named, and renewals sit on the client’s own accounts wherever possible. Finally: final payment before launch and before final files and credentials are handed over, with any maintenance retainer billed separately as a monthly line. As a gentler alternative to late fees, many developers use a pause clause: work pauses if an invoice is more than a stated number of days overdue, and delivery dates move by the length of the pause.

Who should use it?

Freelance web developers, web designers who build, and small development studios billing UK clients. If you are VAT registered, use our VAT invoice template instead. Setting your project price? Start with how much to charge as a freelancer.

What is inside the template?

Your studio details, client details, invoice number with issue and due dates, an itemised table for milestones, change requests and third-party pass-throughs, a deposit-credit line that reduces the balance automatically, and a notes area for launch, retainer and pause-clause wording. Every field is editable: click it, type, then download.

What UK law requires on an invoice

Every invoice you send in the UK must show certain details to be valid. For a standard (non-VAT) invoice: a unique invoice number, the date, your business name and address, your customer’s name and address, a clear description of the work, the amount charged, and your payment terms. If you are VAT-registered, you must also show your VAT number, the VAT rate applied, and the VAT amount per line — see gov.uk guidance on invoices. This template includes fields for all of them, so an invoice built from it meets the legal requirements.

Frequently asked questions

How much deposit should a web developer take before starting?

30 to 50 percent of the project fee is the standard range, paid before any work begins. Show the deposit on every later invoice as a dated credit line, exactly as this template does, so the running balance is never in dispute.

Should milestones be based on dates or deliverables?

Deliverables. “Design approved” or “development complete on staging” can be checked by the client; “week 3” cannot. Tie each milestone payment to something the client can see, and name that deliverable on the invoice line.

How do I bill for changes to the agreed scope?

As change requests: quote the change, get written approval, build it, then bill it as its own labelled line with the CR number and approval date. Folding changes into the original fee is how fixed-price projects quietly become loss-makers.

When should the final payment fall due on a website build?

Before launch, and before final files, logins and credentials are handed over. That sequencing is standard practice and protects you while the client still needs something from you; a maintenance retainer, if any, is a separate monthly invoice.

How do the downloads work?

Edit the preview first, then choose PDF, Word or Excel. PDF uses your browser’s print dialog (choose Save as PDF). Word and Excel download instantly as .doc and .xls files. Everything happens on your device: nothing is uploaded anywhere.
