What is this template for?

This free recurring invoice template is built for work you bill again and again: monthly retainers, maintenance plans and subscriptions. It adds the two fields repeat billing needs, the billing period and the next billing date, so clients always know what period they are paying for.

Who should use it?

Freelancers with retainer clients, agencies, web maintainers and anyone selling a subscription-style service. For one-off work, use our standard freelancer invoice template instead.

What is inside the template?

Your business details, client details, a unique invoice number, issue and due dates, a billing-period banner with the next billing date, subscription line items with quantities and rates, subtotal and total due, and repeat-billing payment notes. Every field is editable: click it, type, then download.

Frequently asked questions

What is a recurring invoice?

An invoice you send on a regular schedule, usually monthly, for ongoing work like retainers or subscriptions. The line items stay mostly the same; only the billing period and dates change.

How do I handle late payment on a retainer?

Set clear terms on every invoice, send a polite reminder the day after it is due, and pause work if payment slips badly. In the UK you can also charge statutory late payment interest on overdue business invoices.

Should the amount stay the same every month?

Only if the work does. This template is editable, so adjust the line items whenever the scope changes and the totals recalculate automatically.

Is direct debit worth setting up for retainers?

Yes, for anything monthly. It removes chasing entirely: the client approves once and each invoice is collected automatically. Mention it in your payment notes as this template does.

How do the downloads work?

Edit the preview first, then choose PDF, Word or Excel. PDF uses your browser’s print dialog (choose Save as PDF). Word and Excel download instantly as .doc and .xls files. Everything happens on your device: nothing is uploaded anywhere.
