What is this template for?

This free plumber invoice template is built for self-employed plumbers and heating engineers: emergency call-outs, leak repairs, boiler work, bathroom plumbing and landlord gas safety checks. It bills the way plumbers actually work — call-out, labour by the hour, parts and safety checks as separate lines.

Call-outs, parts and deposits: how plumbers bill

Plumbers usually charge a call-out fee that covers travel and the first hour of diagnosis, with a higher rate for emergency and out-of-hours work, then an hourly labour rate after that. Parts — valves, pumps, traps, inhibitor — go on their own line so the customer can see the parts cost apart from your time; agree in advance whether parts are at cost or carry a sourcing mark-up. For bigger planned work, especially boiler installations, the norm is a deposit invoice for the boiler and materials before the start date, with the balance invoiced on completion. Domestic customers are usually on payment on completion or 7-day terms, while letting agents and commercial clients are commonly on 14 to 30 days — put the actual due date on every invoice rather than leaving it implied.

Who should use it?

Self-employed plumbers and heating engineers billing UK customers. If you are VAT registered, use our VAT invoice template instead. For more worked examples, see our plumber invoice template guide.

What is inside the template?

Your business details with space for your Gas Safe Register number (only gas work requires it — delete the line if you do water-only plumbing), customer details, invoice number with issue and due dates, an itemised table for call-out, labour, parts and safety checks, subtotal and total due, and a notes area for warranty and deposit wording. Every field is editable: click it, type, then download.

What UK law requires on an invoice

Every invoice you send in the UK must show certain details to be valid. For a standard (non-VAT) invoice: a unique invoice number, the date, your business name and address, your customer’s name and address, a clear description of the work, the amount charged, and your payment terms. If you are VAT-registered, you must also show your VAT number, the VAT rate applied, and the VAT amount per line — see gov.uk guidance on invoices. This template includes fields for all of them, so an invoice built from it meets the legal requirements.

Frequently asked questions

Should the call-out charge be a separate line on a plumber invoice?

Yes. A call-out line covering travel and the first hour’s diagnosis is standard practice and prevents disputes, especially on emergency jobs. Say before you attend whether the call-out is fixed or deducted from the repair if the customer proceeds.

How much deposit should I take for a boiler installation?

Enough to cover the boiler and main materials before the start date is the common approach — many heating engineers invoice the materials as a deposit and the labour balance on completion. Put the deposit arrangement in writing before ordering anything.

Do I need to put my Gas Safe number on the invoice?

If the invoice covers gas work, including your Gas Safe Register number is good practice and reassures customers and landlords; only engineers on the Gas Safe Register may legally work on gas appliances. For water-only plumbing there is no equivalent legal register, so the field is optional — this template lets you delete it.

How do I charge for parts I supply?

Itemise them on their own line apart from labour, as this template does. Decide whether you bill parts at cost or add a sourcing mark-up for ordering and collecting them, and apply it consistently so returning customers see the same approach every time.

How do the downloads work?

Edit the preview first, then choose PDF, Word or Excel. PDF uses your browser’s print dialog (choose Save as PDF). Word and Excel download instantly as .doc and .xls files. Everything happens on your device: nothing is uploaded anywhere.
