What is this template for?

This free designer invoice template is built for graphic designers, brand designers, illustrators and web designers. It handles the way design work is actually sold: fixed-fee concepts, revision rounds billed separately, final artwork delivery, and pass-through costs like stock imagery or font licences — all on one clean, studio-style invoice.

How designers usually structure their invoices

Most designers split a project into stages rather than billing one lump sum. A typical structure is a concept fee (a fixed price for the initial creative routes), revision rounds at an agreed rate each, and a final artwork and handover fee. Anything you buy on the client’s behalf — stock photos, font licences, print proofs — goes on its own line as a pass-through cost so the client can see exactly what it was. Many designers also take a 50% deposit before starting and show it as a credit on the final invoice, exactly as the preview above does.

Who should use it?

Freelance designers and small studios billing UK clients. If you are VAT registered, use our VAT invoice template instead. For help setting your prices, see freelance hourly rates by profession.

What is inside the template?

Your studio details, client details, invoice number with issue and due dates, an itemised table for concepts, revisions, artwork and pass-through costs, subtotal and total due, and a notes area for deposit credits and copyright terms. Every field is editable: click it, type, then download.

What UK law requires on an invoice

Every invoice you send in the UK must show certain details to be valid. For a standard (non-VAT) invoice: a unique invoice number, the date, your business name and address, your customer’s name and address, a clear description of the work, the amount charged, and your payment terms. If you are VAT-registered, you must also show your VAT number, the VAT rate applied, and the VAT amount per line — see gov.uk guidance on invoices. This template includes fields for all of them, so an invoice built from it meets the legal requirements.

Frequently asked questions

Should I charge separately for revisions?

Yes, and this template is built for it. Quote a fixed number of revision rounds in your proposal, then bill extra rounds at your agreed rate. Itemising revisions stops scope creep and makes the client think twice before requesting round six.

What is a kill fee and how do I invoice it?

A kill fee is a pre-agreed payment if the client cancels the project part-way — often 25 to 50 percent of the project fee depending on how far you got. State it in your terms before starting, then invoice it as its own line item if the project is cancelled.

How do I handle stock photos and fonts I licence for a client?

Put them on separate lines as pass-through costs at exactly what you paid, as the preview shows. Do not bury them inside your design fee — clients accept third-party costs far more readily when they can see them.

Do I transfer copyright when I get paid?

Not automatically. In the UK, as a freelancer you own the copyright in work you create unless your contract assigns it. Many designers transfer usage rights on final payment; note your arrangement in the invoice footer so there is no argument later.

How do the downloads work?

Edit the preview first, then choose PDF, Word or Excel. PDF uses your browser’s print dialog (choose Save as PDF). Word and Excel download instantly as .doc and .xls files. Everything happens on your device: nothing is uploaded anywhere.
