What is this template for?

This free electrician invoice template is built for self-employed electricians and small electrical firms: fault-finding call-outs, consumer unit changes, rewires, EICRs and small domestic jobs. It separates the lines electricians actually bill — call-out and diagnosis, labour, materials and testing and certification — instead of one vague “electrical work” total.

Call-outs, materials and certificates: how electricians bill

Most electricians charge a call-out or diagnostic fee covering the first hour, then an hourly rate after that — and a higher rate for out-of-hours emergency work. Materials (consumer units, RCBOs, cable, accessories) go on their own line at cost or with a modest, declared mark-up; customers accept parts charges far more readily when they are itemised rather than buried in labour. Testing and certification is real work and is billed as its own line: an Electrical Installation Certificate (EIC) for new installations, a Minor Works Certificate for smaller additions, or an EICR for periodic inspection. Many electricians release the certificate once the invoice is paid, and say so on the invoice itself, as the preview does. For larger jobs such as rewires, a deposit covering materials up front is standard practice.

Who should use it?

Self-employed electricians and small electrical contractors billing UK customers. If you are VAT registered, use our VAT invoice template instead so the VAT is shown correctly. For worked pricing examples and more line items, see our electrician invoice template guide.

What is inside the template?

Your business details with space for your competent-person scheme registration (for example NICEIC or NAPIT), customer details, invoice number with issue and due dates, an itemised table for call-out, labour, materials and certification, subtotal and total due, and a notes area for certificate and guarantee wording. Every field is editable: click it, type, then download.

What UK law requires on an invoice

Every invoice you send in the UK must show certain details to be valid. For a standard (non-VAT) invoice: a unique invoice number, the date, your business name and address, your customer’s name and address, a clear description of the work, the amount charged, and your payment terms. If you are VAT-registered, you must also show your VAT number, the VAT rate applied, and the VAT amount per line — see gov.uk guidance on invoices. This template includes fields for all of them, so an invoice built from it meets the legal requirements.

Frequently asked questions

Should I list the call-out fee separately from labour?

Yes. A separate call-out or diagnostic line (usually covering the first hour) shows the customer what they are paying for before any repair work starts, and avoids arguments if the fault turns out to need parts you have to order. State clearly whether the call-out fee is waived if the customer goes ahead with the repair.

How do I charge for materials on an electrician invoice?

On their own line, itemised by what was actually used — consumer unit, breakers, cable, accessories — either at cost or with a modest mark-up declared in your terms. Itemising parts builds trust and makes warranty queries easy to answer later.

Do I have to issue the certificate before the customer pays?

No. Certificates such as the EIC must be issued for notifiable work, but many electricians hand over the certificate and make the Part P Building Regulations notification once the invoice is settled. Whatever your policy, state it on the invoice, as this template does in the footer.

Do electricians charge VAT?

Only if your business is VAT registered (compulsory above the UK registration threshold). Most domestic electrical work is standard-rated at 20 percent for registered businesses; if you are not registered, do not add VAT — use this template as it is.

How do the downloads work?

Edit the preview first, then choose PDF, Word or Excel. PDF uses your browser’s print dialog (choose Save as PDF). Word and Excel download instantly as .doc and .xls files. Everything happens on your device: nothing is uploaded anywhere.
