What is this template for?

This free photographer invoice template is built for freelance photographers: weddings, portraits, commercial shoots, property and events. It separates what photographers actually sell — the shoot fee, the usage licence, retouching and travel — onto clear lines instead of one vague total.

Shoot fees, usage licences and expenses: how photographers bill

Photographers sell two different things and should invoice them separately. The shoot fee covers your time on the day (half-day and full-day rates are standard). The usage licence is what the client pays for the right to use the images — priced by duration, territory and media, for example “12 months, UK, marketing channels” as the preview shows. Then come expenses: travel, accommodation, assistants, equipment hire — each on its own line at cost. Most photographers also take a booking deposit (often 20 to 50 percent) to secure the date, deducted from the final invoice.

Who should use it?

Freelance photographers and small studios billing UK clients. If you are VAT registered, use our VAT invoice template instead. Unsure what deposit to ask for? See how much deposit freelancers should ask for upfront.

What is inside the template?

Your photography business details, client details, invoice number with issue, due and shoot dates, an itemised table for shoot fees, usage licences, retouching and travel, subtotal and total due, and a notes area for deposit credits and licence terms. Every field is editable: click it, type, then download.

What UK law requires on an invoice

Every invoice you send in the UK must show certain details to be valid. For a standard (non-VAT) invoice: a unique invoice number, the date, your business name and address, your customer’s name and address, a clear description of the work, the amount charged, and your payment terms. If you are VAT-registered, you must also show your VAT number, the VAT rate applied, and the VAT amount per line — see gov.uk guidance on invoices. This template includes fields for all of them, so an invoice built from it meets the legal requirements.

Frequently asked questions

Should the shoot fee and usage licence be separate lines?

Yes. They are different products: your time versus the client’s right to use the images. Separating them makes the invoice clearer, makes repeat licensing easy later, and protects you if a client disputes one part.

What deposit should I ask for as a photographer?

20 to 50 percent of the shoot fee is standard to secure the date, with the balance due after delivery. State clearly whether the deposit is refundable if the client cancels — many photographers make it non-refundable inside a set window.

How do I invoice travel and other expenses?

On their own lines at cost, exactly as this template does: mileage, accommodation, assistant fees, equipment hire. Agree in advance which expenses the client covers so nothing is a surprise.

Do I keep the copyright to my photos?

In the UK, yes — the photographer owns the copyright by default, even when the client paid for the shoot, unless a written agreement transfers it. The usage licence on your invoice defines what the client may do with the images; it is not a copyright transfer.

How do the downloads work?

Edit the preview first, then choose PDF, Word or Excel. PDF uses your browser’s print dialog (choose Save as PDF). Word and Excel download instantly as .doc and .xls files. Everything happens on your device: nothing is uploaded anywhere.
