What is this template for?

This free contractor invoice template is made for trades and construction businesses: builders, electricians, plumbers, decorators and general contractors. It handles the way contractors actually bill, with separate lines for labour, materials and hire charges, plus room for CIS notes where relevant.

Who should use it?

Self-employed contractors and small construction firms in the UK. If you charge VAT on top, switch to the VAT invoice template; for trade-specific line items, the invoice generator has you covered.

What is inside the template?

Your business details, client details, invoice number with issue and due dates, an itemised table for labour, materials and extras, subtotal and a bold total-due box, and a notes area for payment terms or CIS wording.

What UK law requires on an invoice

Every invoice you send in the UK must show certain details to be valid. For a standard (non-VAT) invoice: a unique invoice number, the date, your business name and address, your customer’s name and address, a clear description of the work, the amount charged, and your payment terms. If you are VAT-registered, you must also show your VAT number, the VAT rate applied, and the VAT amount per line — see gov.uk guidance on invoices. This template includes fields for all of them, so an invoice built from it meets the legal requirements.

Frequently asked questions

Should contractors ask for a deposit?

Many contractors ask for 20 to 50 percent upfront on larger jobs, especially where materials must be bought in. State the deposit on the invoice and deduct it from the balance.

What is CIS and does it affect my invoice?

The Construction Industry Scheme can require contractors to deduct tax from subcontractor payments. If it applies to you, the deduction is usually shown on the payment statement rather than the invoice itself. Check with your accountant.

How do I list materials vs labour?

Keep them on separate lines with their own quantities and rates, exactly as this template does. It makes the invoice clearer and makes your bookkeeping far easier.

What payment terms should I use?

30 days is standard in construction. For smaller domestic jobs, 7 to 14 days is common. Put the due date on every invoice.

Can I edit the totals?

Yes. Quantities and rates are editable and the amounts, subtotal and total recalculate automatically as you type.
